Priority Planning Model and Worksheet

When managing multiple projects or actions, you need to know which are the most important (not necessarily urgent) and work on them first. The attached Priority Planning Worksheet can help you evaluate your priorities according to which is most important and most urgent.
This worksheet can be used for general goal setting, but will also work well for managing specific projects.
- Identify your key priorities. If you have more than three, use additional worksheets.
- Assign a numerical value for the Importance of each priority, with 1 being most important. Place that number in the “I” column.
- Assign a numerical value for the Urgency of each priority: 1=Urgent, most time sensitive; 2=Important, needs to be done; 3=Important, but can wait. Place that number in the “U” column.
- Multiply the Importance value by the Urgency value to determine the Success factor for each priority. Enter the result in the “S” column.
- Rank each priority from highest to lowest Success factor in the “Rank” column. If you have a tie, pick the one priority over the other so that they all have a rank.
- Determine the Descriptions, Deadlines and Purposes for each priority
- List the action Steps required to complete each priority

Genius! This is what’s lacking in every software program I’ve ever tried — a way to prioritize based on both urgency and importance.
