10 More Lotus Notes Tips
1. Add a name to your address book from incoming e-mail. From your mail file:
- Select or open the e-mail message.
- Click Tools and select Add Sender to Address Book.
- Click OK.
2. Confirm that e-mail message has been delivered. From your mail file:
- Create a message.
- Click Delivery Options.
- Click the Delivery report arrow.
- Click Confirm delivery.
- Click OK.
- Send the message as usual.
- You will receive an e-mail confirming your message has been
delivered.
3. Create a signature. From your mail file:
- Click Actions - Tools - Preferences.
- Click the Mail tab.
- Click the Signature tab.
- Click Automatically append a signature to my outgoing mail messages.
- Click Text option
- Type in the signature you wish to have displayed
- Click OK.Note: You may want to press enter on the keyboard a couple of times before putting in the signature information if you do not want the signature to appear immediately at the top of the memo.
4. Create a folder. From your mail file:
- On the Actions menu, click Folder - Create Folder.
- In the Folder name box, type a name for the folder, and click OK.
- To create a sub-folder (a folder inside of a folder):
- In the Navigation pane, right-click the folder under which you wish to
create a sub-folder, and click New Folder. - In the Folder name box, type a name for the folder, and click OK.
5. Drag and drop messages from your in-box into any of your folders:
- Click and hold on a messages and drag it over Folders.
- Once the Folders view expands, continue dragging until you are over the name of the folder where you want to place the message.
- Release the mouse button and the message will move to the selected folder.
6. Quickly access your Calendar while in your Lotus Notes mailbox
- Selecting the small arrow and selecting Switch to Calendar from the drop down menu.Note: You can also access the “Switch to To Do” and “Open another
Person’s Mail” option if available.
7. Setting up your Out of Office agent. From your mail file:
- Click Action - Tools - Out of Office.
- Select the leaving and returning dates as desired.
- Click book busytime for these dates if not already checked.
- Click Out of Office message.
- Insert message as desired.
- Click Enable.
- Click Yes.
Note: Be sure to replicate immediately after following the steps above or your Out of Office Agent will not be enabled while you are away.
8. Set the spell check feature to automatically check all messages for spelling errors. From your mail file:
- Click Actions then Tools then Preferences.
- Click the Mail tab.
- Click the Basics tab.
- Check the option “Automatically check mail messages for misspelling before sending”.
- Click OK.
9. Add a mood stamp to your e-mail message. From your mail file:
- Create a new memo.
- Click Delivery Options.
- Click the Mood Stamp arrow.
- Select the desired mood stamp.
- Click OK.
- Send the memo.
10. Change the graphic that appears at the top of your e-mail messages. From your mail file:
- On the Actions menu, click Tools - Preferences.
- Click the Mail tab.
- Click the Letterhead tab.
- Scroll through the list, and the click the desired graphic.
- Click OK.
